Welcome to Amazing Kids.

This user guide will show you how to get the best from your Amazing Kids devices and software. As a new member of our team, you will be using a mobile device such as an iPad to stay connected and productive. Mobile devices have become an essential part of our modern work environment, but managing them can be a challenging task for companies of any size.

This is where Mobile Device Management (MDM) comes into play. MDM is a set of tools and processes that allows organizations to manage and secure mobile devices used by their employees.

The MDM solution we use is called Jamf Now. It’s a cloud-based solution that enables us to configure, manage, and secure Apple devices from a central location. With Jamf Now, our IT Administrator (Tony) can manage and deploy applications, deploy security policies, and keep track of device inventory.

Only YOU can see the data that’s on your iPad, nobody else in Amazing Kids can see your data unless you share it. Our IT administrator cannot see any data on your iPad at all – and cannot track your iPad or obtain any of your personal information. The MDM is only about helping us comply with NDIS data security & privacy requirements and making sure that if you lose your iPad, that it can be reset so that no client data is exposed.

As a new member of our organization, you will be given an iPad that is preconfigured with Jamf Now. This means that you can be assured that your device is set up with the necessary security policies and applications to ensure a secure and productive work environment.

In summary, Mobile Device Management is essential for modern workplaces, and Jamf Now is our chosen solution to ensure that our mobile devices are managed and secured effectively.

The iPad is set up with the MS 365 App, Basecamp and HI Rasmus as well as the normal Apple software.

Microsoft 365

Welcome to Microsoft 365! As a new staff member, you may be wondering where to start with using this powerful suite of tools. This guide will give you an overview of the basics and some tips to get you started.

Getting started with Microsoft 365

Accessing Microsoft 365: Go to the Microsoft 365 sign-in page and enter your credentials. If you are unsure of your login information, contact your IT department for assistance.

Setting up your profile: Once you are logged in, you can set up your profile by clicking on your avatar or initials in the top right-hand corner of the screen. This will allow you to add your photo, contact information, and set your status.

Microsoft 365 includes many applications such as Word, Excel, PowerPoint, Teams, and more. Take some time to explore these apps and become familiar with their functions.

Tips for using Microsoft 365

  1. Use OneDrive: OneDrive is a cloud-based storage service that allows you to access your files from anywhere. You can also share files with colleagues and collaborate on documents in real-time.
  1. Communication: MS 365 includes Microsoft Teams which is a great tool. But at Amazing Kids we use Basecamp for instant messages, collaboration and sharing files.
  1. Use Outlook for email: Outlook is a powerful email client that allows you to manage your email, calendar, and contacts in one place. Use Outlook to send and receive emails. We have also included MS 365 Office too that includes Microsoft Word, Excel and PowerPoint too.
  1. Use SharePoint for document management: SharePoint is a web-based document management and collaboration tool that allows you to store, organize, and share documents with colleagues. You can also use SharePoint to create and manage workflows and to automate business processes.
  1. Use Forms for surveys and quizzes: Forms is a tool for creating surveys, quizzes, and polls. You can use Forms to gather feedback from colleagues and other stakeholders.

Microsoft 365 is a powerful suite of tools that can help you work more efficiently and effectively. Take some time to explore the apps and features, and don’t hesitate to ask your colleagues or IT Administrator (Tony) for help if you have any questions or issues. With a little practice and familiarity, you will be using Microsoft 365 like a pro in no time!

Data Security

Data security is a critical aspect of our operations.  It involves protecting sensitive data from unauthorized access, use, disclosure, modification, or destruction. You must not share our company or client information to anyone, other than in accordance with our data and privacy policy – you must keep company and client information confidential. 

Why is data security important?

  1. Protects confidential information: Data security helps protect sensitive information such as financial data, employee records, and customer information from unauthorized access or misuse.
  1. Prevents data breaches: Data breaches can result in the loss of sensitive information, financial loss, and damage to a company’s reputation. Data security measures can help prevent data breaches from occurring.
  1. Ensures compliance with regulations: Many industries have regulations that require organizations to protect sensitive information. Failure to comply with these regulations can result in legal and financial penalties.
  1. Maintains business continuity: A data breach can disrupt operations and result in loss of revenue. Data security measures can help ensure business continuity by preventing such disruptions.

Tips for ensuring data security

  1. Use strong passwords: Ensure that employees use strong passwords that are difficult to guess. Passwords should be at least 8 characters long, include upper and lower case letters, numbers, and symbols.
  1. Encrypt sensitive data: Encryption is the process of converting data into a code that can only be deciphered by authorized users. Sensitive data such as financial information, employee records, and customer information should be encrypted.
  2. Implement access controls: Access controls restrict access to sensitive information to only authorized personnel. Access controls can include user authentication, role-based access, and access logs.
  3. Keep Up to Date: Employees should be aware of security threats such as phishing emails and malware and report any suspicious items to the IT administrator.
  4. Keep software up to date: Software updates often include security patches that address vulnerabilities that can be exploited by hackers. Ensure that the iPad apps and iOS is up to date.
